With Message Templates, you can set up pre-built messages that are automatically sent or manually with the click of a mouse at different hiring stages—whether it’s confirming applications, scheduling interviews, or sending offers.
Who Can Access Meeting Templates?
To access Recruiting Settings, you’ll need to be an Admin or Mega Admin—so if that’s not you, please reach out to your administrator for assistance.
Finding Your Message Templates
Click on the settings gear ⚙️ in the bottom left corner.
Select Recruitment Settings from the menu.
Navigate to the Message Templates section using the list on the left.
Default Message Templates
We’ve already set you up with a few default templates to make things easier:
Our default message templates help streamline communication at every stage of the hiring process.
The Application Confirmation template ensures candidates know their application has been received, while the Disqualification Notice provides a polite and professional way to inform candidates they weren’t selected.
For scheduling, the Interview Setup template eliminates back-and-forth emails, making it easy to coordinate meetings. And when it’s time to seal the deal, the Offer Letter template lets you send exciting job offers in seconds!
Of course, you can edit these or create your own to match your hiring process.
Personalize with Candidate Messaging Variables
Want to send personalized messages without manually filling in details? Use variables!
Just add double brackets around the variable, and it’ll automatically pull in the right info when sending messages.
Here are the available variables:
[[candidateFirstName]] – First name of the candidate
[[candidateFullName]] – Full name of the candidate
[[senderFirstName]] – Your first name
[[senderFullName]] – Your full name
[[jobTitle]] – The job title the candidate applied for
[[companyName]] – Your company’s name
Example, instead of typing:
"Hi Alex, thanks for applying to the Sales Manager role at Acme Corp!"
You can set up a template like this:
"Hi [[candidateFirstName]], thanks for applying to the [[jobTitle]] role at [[companyName]]!"

Editing Message Templates
Need to tweak an existing message?
Click the pencil & paper icon next to the template name.
Make your changes inside the editor.
Hit Save, and you're all set!
Creating Custom Message Templates
Want a brand-new template?
Click the “+ Add Template” button in the top right corner.
The editor window will pop up—craft your message just the way you want.
Save it, and you're good to go!
