Just like workflows help structure your hiring process, meeting templates ensure every interview runs smoothly! 🎯 Having specific templates for different types, lengths, and styles of interviews helps keep both candidates and your hiring team fully prepared.

So, let’s make sure you have all the right meeting templates in place!

Who Can Access Meeting Templates?

To access Recruiting Settings, you’ll need to be an Admin or Mega Admin—so if that’s not you, please reach out to your administrator for assistance.

Finding Your Meeting Templates

Click on the settings gear ⚙️ in the bottom left corner.

Select Recruitment Settings from the menu.

Navigate to the Meeting Templates section using the list on the left.

Bonus! We’ve already added a default meeting template to spark inspiration. Feel free to edit it or create brand-new ones that match your hiring process!

Creating a New Meeting Template

To create a new template, click the “+ Add Template” button in the upper right corner and fill out these sections:

  • Meeting Template Name

  • Meeting Title

  • Duration

  • Meeting Type

  • Meeting Description

  • Rating Card

Meeting Template Name

This is an internal label so you and your team can easily find and select it. Candidates won’t see this, so make it as clear as possible for your team.

Meeting Title

This is the title candidates and interviewers will see on the invite. Keep it short but informative—so everyone knows what to expect at a glance!

Duration

Time is precious! ⏰ Set how long the meeting will last so both the interviewing team and the candidate can plan accordingly.

Choosing the Right Meeting Type

Different interviews call for different setups! Let’s break down your options:

Phone Call – Candidates will be told you’re calling the number they provided. Simple and direct!

Video Call – Requires connecting your Google or Microsoft calendar. The system will generate a meeting link automatically and send it to attendees.

In-Person – Be sure to include the meeting location in the description so there’s no confusion! No one likes last-minute emails asking, “Where do I go?” 😅

Other – For unique formats, select Other and provide details in the Meeting Description.

Pro Tip: You can use bullet points, links, and rich text to keep things organized and easy to read. Both candidates and the interview team will see this, so make sure it's accurate and helpful!
